Account & billing
Your Lyteworkgo subscription: your size and the room your team uses, extras, changing your plan with Modify plan, your next bill, storage and texts, and who can make changes.
Settings → Account & billing is your Lyteworkgo subscription: the size your team is on, the room it uses, your next bill, and the card it’s charged to. The invoices you send your own customers are under Invoices. The Billing role has nothing to do with this page.
Account & billing opens on its own, without the menu and the top bar, so you can read your bill without the rest of the app around it. Back to your workspace, at the top, takes you home, and Help opens this guide.
Who can use it. Owners, and the admins an owner makes authorized managers, open the page and make changes. Only an owner cancels or resumes the subscription, or chooses authorized managers. Everyone else, other admins included, doesn't see it.
Your size
Lyteworkgo comes in six sizes: Solo, S, M, L, XL and XXL — Solo, Small, Medium, Large, XL and XXL. Every size has every feature in these guides. Sizes differ only in how many people they hold, how much storage they include, and how many customer texts they include a month.
The Your size card shows your size, the seats it includes, and the room your team uses. The Sizes card lists every size with its seats, the most it holds with extras, its storage, its texts a month and its price. It is the one place in the app that compares sizes.
Size note. Solo is for one person working alone: no helpers and no extras. Inviting anyone, or adding a helper, needs Small or larger.
Who takes room. Everyone who can sign in takes one seat, whatever roles they hold. A helper takes half a seat. An invitation takes room from the moment it’s sent, until the person joins or you remove them. Deactivated and removed people take none, and neither do your customers or your subcontractor links. The card reads like In use: 5.5 seats of 7.5, with the people, pending invitations and helpers under it.
Removing someone frees their room, but it never changes your bill by itself. Lyteworkgo never deactivates anyone because of your size.
Adding room
Extras add room on top of the seats your size includes. The Extras card shows what you have and what each costs; you change them with Modify plan.
- Extras come in half seats. A person needs a whole seat and a helper half. The card shows the monthly price of each.
- Each size takes extras up to a limit: the last half seat that keeps your bill below the next size’s price. Past it, the only way to add someone is a larger size. XXL has no limit, and Solo takes no extras.
- Added room is yours at once. What it costs for the rest of this month goes on your next invoice, and the card shows the amount before you confirm. Nothing is charged during the free trial.
- Removing extras lowers your next bill, with no refund for the rest of this month. Adding them back before the month ends costs nothing more.
- You can’t remove extras your team is using. Deactivate or remove someone first.
You don’t have to come here to make room. When you invite someone and your size is full, the invitation itself offers the room — see When your size is full.
Changing your plan
Your size and your extras change in one place: Modify plan, in the Size and extras section. It takes three steps, and nothing changes until you choose Confirm change. Every step has Back, and Cancel to leave without changing anything.
- Size. Every size, with what it would mean for your team. Your current size is chosen to start with; pick another, or keep it to change only your extras.
- Extras. Add or remove extras on the size you picked, in half seats. The step shows the room they give against what your team uses, and won’t go below what your team needs or above what the size takes.
- Review. What changes, your monthly price before and after, what the change adds to your next bill, and your whole next bill with its date. Choose Confirm change to make it.
- Moving up to any larger size happens at once. The rest of this month goes on your next invoice.
- Moving down works when your team fits the smaller size: its seats plus the extras it takes. Your next bill is lower, with no refund for the rest of this month.
- Moving to Solo needs you alone: no other people, no helpers and no pending invitations.
- While a cancellation is scheduled, your size and extras can’t change: resume first.
- Your plan changes only here. The card page that Update payment method opens changes the card and nothing else.
Lyteworkgo never changes your size for you, and never suggests one. A larger size is offered in one place only: when you add someone your size has no room for.
Your next bill
The Next bill card shows what your next invoice holds: your size, your extras, and the rest of this month for changes you made, prorated. If your texts or storage are over the allowance so far, it adds an estimate and the total reads About, because usage is measured when the period ends and the final amount can change.
During the free trial the card is your First bill, and nothing is charged until the trial ends. With a cancellation scheduled there is no next bill.
Storage and texts
Each size includes some storage and a number of customer text segments a month. Extras add room for people, not storage or texts. The Allowances card shows how much of each you’ve used.
- Storage is the photos and files your workspace keeps on requests, quotes, jobs, invoices and clients, whether they came from your team, your helpers or a subcontractor link. The card’s meter is live; the figure you’re billed on is measured when each billing period ends. Lyteworkgo makes each photo smaller before it uploads (at most 2,560 pixels on its longer side), so a phone photo usually takes under 1 MB instead of several.
- Texts count in segments. Long texts, and texts with an emoji, use more than one. Only texts to your customers count. These never do:
- sign-in and verification codes — yours, your team’s, and your customers’ portal codes;
- the codes customers use to sign a quote or open a signed document;
- security alerts;
- the message confirming that a customer agreed to texts;
- the replies to STOP and HELP.
- Plain punctuation. Before a text goes out, Lyteworkgo swaps curly quotes, long dashes and similar punctuation for plain ones, so a pasted quote mark doesn’t make a text cost more segments.
Going over never stops your work. Usage over an allowance is added to your next invoice. The first time in a billing period that your texts or your storage go over, every owner gets one email and one notification saying what it costs and on which invoice. Nothing is charged for usage during the free trial.
The safety brake. If customer texts in one billing period reach five times your allowance (during the free trial, your allowance itself), customer texts pause until the period ends. If you change size mid-period, the period is still measured against the largest allowance you held in it. Texts that would have gone out during the pause are not sent later. Sign-in codes still send. Contact Support to turn customer texts back on sooner.
Confirming it’s you
To keep your billing safe, Account & billing asks you to confirm it’s you when you haven’t signed in within the last hour. Until you do, the page shows only For your security, confirm it’s you to see billing details. Once you confirm, you can see and change billing for the next hour. You don’t need an authenticator app for any of it.
- If you use an authenticator app, enter the 6-digit code it shows.
- Otherwise, choose Send code. Lyteworkgo texts a code to your verified phone, or emails it to you, and shows where it went (We’ll text a code to •••• 1234.). Enter the code. It works for 10 minutes; Resend code sends a new one after a minute.
- The same check comes up wherever you change billing: adding room for someone in Users, making or ending an authorized manager, and giving up your own authorization. It also comes up when you make someone an owner in Users. Confirm, and the change carries on.
- Signing in again also counts, so if a code doesn’t arrive, sign out and back in.
Cancelling never asks you to confirm anything. An owner can always cancel from the page, even before confirming it’s them.
Authorized managers
An owner can make an Admin an authorized manager. They can then add and remove extras, change your size and update the card, as an owner can. They can’t cancel or resume the subscription, or make anyone else an authorized manager. It costs nothing: they’re an Admin, one seat.
- To make one, go to Users, choose Edit user on an Admin who has joined, and choose Make authorized manager. Neither of you needs an authenticator app.
- It ends when they stop being an Admin, or are deactivated or removed. An owner can end it any time with End authorization in Edit user, and the person can give it up from their own Security settings with Give up authorization. Making them an Admin again doesn’t bring it back: only an owner can.
- The owners always know. Every change an authorized manager makes to the extras, the size or the card emails and notifies every owner, and is listed under Billing changes with who made it. When an authorization ends, the owners are told, except an owner who ended it themselves. Who manages billing lists the owners and the authorized managers by name, for everyone who can open the page.
- Protected like an owner. Only an owner, or the person themselves, can edit an authorized manager, deactivate or remove them, send them a password reset, reset their two-step sign-in, or change their login email.
Payment method and invoices
Payment method shows the card your subscription is charged to. Update payment method opens Stripe’s secure page for your card, and only your card: sizes and cancelling aren’t there. When an authorized manager updates the card, the owners are told.
Billing history lists your invoices and receipts.
Billing changes lists who changed your size, your extras or your card, and when. It shows the last three; Show all lists the rest.
Cancelling
Only an owner can cancel. Cancel subscription, at the bottom of the page, ends your subscription at the end of the billing period: you keep full access until then, and you won’t be billed for another renewal. Cancelling never asks you to confirm it’s you. Until that date an owner can Resume subscription. While a cancellation is scheduled, your size and extras can’t change: resume first, then make the change.
If the subscription has ended, or still needs payment, an owner restarts it from Your size with Resubscribe or Complete subscription. Everyone else is asked to get an owner to do it.
Free trial
Your free trial runs on the size you chose when you signed up. Each workspace, and each card, gets one free trial. You can add room or change size during it and nothing is charged; your first bill, when the trial ends, is for the size and extras you have then. Modify plan’s review shows it as Your first bill.
When our terms change
Owners only. Admins and the rest of the team aren't sent these.
When Lyteworkgo publishes a new version of its legal agreements (the Terms of Service, Privacy Policy and the documents that go with them), every owner gets an email and a notification in the bell: “We’ve updated the Lyteworkgo legal agreements”. Click it to read the updated Terms of Service; they open in a new tab.
If your workspace started under an earlier version, material updates take effect for you 30 days after that notice, and until then the previous version applies. The email links to Previous versions, where the earlier text stays published while it still applies to you. If you don’t agree with the changes, you can cancel your subscription before then.
This notification can’t be turned off, and it isn’t listed in your notification settings: it is how we tell you the agreement changed.
