Time tracking
Clock in and out, time your stops and your drive, let Start, Complete and On my way switch your timer for you, and fix your own week in My timesheet.
Lyteworkgo keeps one record of the hours each person works. You clock in when you start, and a timer runs while you work. Tap Start or Driving on a stop and the timer moves to that job. The taps you already make — On my way, Start Job, Complete — move it for you. Your week is under My timesheet, and whoever approves timesheets checks it once the week is over. See Timesheets.
Who has the time clock. Everyone whose Tracks time is on, helpers included. It is on for everyone by default, except the owner on Small and larger, who usually runs the office rather than the work. On Solo the owner has it on. Owners and admins turn it on or off for each person in Edit user. With it off, you don't see the clock at all.
Clock in and clock out
The clock sits in the top bar of the app.
- Clock in puts you on the clock. You’re not on a job yet: this is general time, such as loading the van or office work.
- Off the clock, the small arrow beside Clock in shows your hours Today and My timesheet, so you can check or fix your week without clocking in. It’s there on a phone too.
- Once you’re on the clock, the button shows how long the timer has run and what it’s on: General, a job number, or Driving to a job. On a phone it shows just the time.
- Tap it to open the menu. It shows when the timer started and your hours Today, plus:
- Back to general — you’ve finished the job or the drive but you’re still working. Only there while you’re timing a job or a drive.
- Clock out — stops the timer. You’re off the clock.
- My timesheet — opens your week.
Start and stop times come from Lyteworkgo’s clock, not your phone’s, so every device shows the same time.
One timer at a time
You have one timer, and it’s always on one of three things:
| On screen | What it is | Counts toward the job’s labor |
|---|---|---|
| Job | Working on a job or a request | Yes |
| Driving | Travel, to a job or a request or just driving | Yes, when it’s on a job |
| General | On the clock, not on any job | No |
Starting something new stops what was running at that same moment, so there’s never a gap or an overlap. You never need to stop one timer before starting the next.
Timers on your stops
On My day, your hours for today are at the top. Each open stop for today under Up next and Coming up today has two buttons:
- Start — times the work on that job or request.
- Driving — times the drive there.
While your timer is on that stop, the card shows it running, with Back to general (finished, still on the clock) and Stop (off the clock). While you’re driving there, Start is first, because arriving is your next tap.
Only today’s stops have timers. You time what you’re doing now, so a stop later in the week, or any stop while another day is picked, has none.
The timer moves on its own
The taps you already make on a job switch your own timer for you:
- On my way switches you to Driving on that job or request. If you weren’t on the clock yet, it clocks you in.
- Start Job switches you to Job time on that job.
- Complete, on the job page or on My day, switches you from that job to General. You’re still on the clock, and your next job is one tap away.
This happens only when you’re on the job yourself — it’s one of your stops, or you’re the person it’s assigned to. If someone in the office taps Start Job or On my way for you, their own timer doesn’t move, and neither does yours. Nobody else’s timer changes when you tap something: when one person on a crew completes the job, everyone else’s timer keeps running.
If a customer signs from a link you sent and the job completes on their signature, no timer moves. If they sign on your phone at the house, that counts as your Complete.
If the timer can’t be moved for some reason, the job action still goes through. Check the clock in the top bar.
On the job page
A job’s Time Tracking section, and a request’s, has Start timer if you track time and can open the job. It switches you to job time on this job. While your timer is on it, the button reads Stop timer, which switches you to general time. It doesn’t clock you out. Draft, completed and cancelled jobs have no timer button.
The list shows everyone’s time on the job: what it was (Job or Driving), who, the start and end or the typed hours, and Running for anyone on the clock there now. Running time is added to the totals only once the timer stops. A timed entry is corrected by its start and end, from the person’s My timesheet or the timesheet, so Edit appears only on typed hours.
Under Actual Hours the job shows its logged time against the estimate, such as 6.5 h of 8 h estimated, and says in words when a job ran over. Driving on the job counts. The job’s Profit tab counts it too.
My timesheet
My timesheet, in the sidebar or the clock’s menu, opens your week, day by day. Use the arrows to go back a week, and This week to come back.
Each entry shows what it was on (a job or request number and the client), its start and end — or Typed when you entered the hours — its note, and Running or Edited where that applies. Edited marks a timed entry someone changed after the clock recorded it.
- Add time — for anything the timer missed. Pick the day, the kind (Job, Driving or General), the job or request for job time (optional for driving), the hours and an optional note.
- Edit — change typed hours’ day, hours, kind or job. A timed entry is changed by when it Started and Ended only. Times can’t be in the future, and two timed entries can’t overlap.
- Delete — removes the entry. Deleting a running timer throws it away.
Fixing a forgotten timer
Forgot to clock out? Open the running entry in My timesheet. It says This timer is still running. Enter when it really ended, and it stops at that time with the right hours.
If you just stop it instead, it keeps every hour it ran: a timer left on over the weekend records the whole weekend. It’s flagged for whoever approves timesheets, and you or they can still set the real end before the week is approved. Nothing ever cuts a timer short on its own. You and the approvers are told when one has run too long. See Timesheets → Nudges.
An approved week
Once an approver approves your week, My timesheet shows Approved by … on … and the week can’t be changed, not even by you. If something is wrong, ask an approver to reopen it.
Helpers
A helper who tracks time has the same clock in the top bar, and My timesheet in the sidebar and the clock’s menu. Today’s visits on My visits, and Your time on an open visit, have Start and Driving. Mark my visit done switches their job timer to general, and Undo doesn’t restart it. A helper puts job time only on their own visits. See Using Lyteworkgo as a helper.
