Change orders
Price extra work (or a credit) on a job and get the customer's signature before it changes what the job bills.
You opened the wall and found rot. A change order puts a price on the extra work — or a credit for work you’re leaving out — and the customer approves it before it changes what the job bills. They can sign on your phone right there, or from a link you send them.
Who can do what. Anyone who can edit a job can write a change order on it, send it and have the customer sign — a Field tech on their own jobs included. Mark approved without a signature, and voiding an approved change order, are for owners and admins.
Writing one
Open the job and find Change orders below Line Items. Tap New change order:
- Title — what the change is, like “Replace rotted subfloor”.
- Why this change — what you found and what it needs. The customer reads this on the document they sign.
- Lines — search your price book or type a description. Picking an item fills in its price. For a credit, enter a minus price, like
-300. - When it is billed — With the final bill (the default) adds the lines to the job’s invoice when you bill the job. Bill now issues its own invoice as soon as the customer approves. A credit can’t be billed now; it comes off the final bill.
Tap Create draft. A draft can be edited or deleted until you send it.
You can write a change order on a job that is scheduled, in progress or completed. You can’t on a draft or cancelled job. Once a job has been billed, a new change order can only be billed now.
Photos
Open the change order in the list and tap Add photos to show the customer what you found. The customer sees these photos: on the page they review and sign (on your phone or from the link), on their signed copy, and in their portal.
You can add or remove photos while the change order is a draft or sent. If you add one after sending the link, the customer sees it the next time they open the page; if their page was already open, they’re asked to review the change again before they sign. Once the customer approves or declines, the photos are part of the record and can’t be changed. Put later photos on the job instead.
Getting the signature
Open the change order in the list. Then:
- Customer signs here — hand your phone to the customer. They read the change, type or draw their signature and confirm. It fills the screen on a phone. No code is needed.
- Send link — the customer gets a secure link by email, or by text, to review the change and sign or decline it. They confirm with a one-time code sent to them. The link lasts 24 hours. You’re only offered the ways this customer can receive: email if they take email notifications, a text if they’ve agreed to texts.
A text sent outside 8am–9pm on the customer’s clock waits until morning. Once sent, the change order shows Sent. You can Resend link for a fresh one, or Copy link to share the current one yourself.
Marking it approved without a signature
If the customer approved on the phone or by email, an owner or admin can tap Mark approved and write how they approved it. It’s recorded as your approval, with your reason — not as the customer’s signature.
When it’s approved
The change order’s lines are added to the job’s Line Items with a Change order badge and a lock. They can’t be edited or removed from the job — the customer agreed to them. The Change orders card shows the job’s price: Original, Approved changes, Current, and anything Awaiting approval, all before tax.
- With the final bill: the lines are added to the job’s invoice when you bill the job.
- Bill now: its own invoice is issued, and the change order links to it.
When the customer signs or declines from the link, you get a notification in the app. If they decline, their note is shown. A declined change order can’t be approved later — write a new one if the work still needs doing.
Voiding
Void withdraws a change order. A sent one’s link stops working. Voiding an approved one takes its lines off the job, so only owners and admins can do it, and only before those lines are billed. Void a bill-now invoice first if it has been issued.
What the customer sees
The customer’s portal shows the job’s changes — sent, approved and declined — with the lines, the photos, the price change, and Review and sign while the link is still good. Drafts and voided change orders never show.
