Completing a job and customer sign-off

Close a job from one screen — check the work, add notes, and have the customer sign that it's done, at the house or from a link.

When the work is done, Complete Job opens one screen that shows what was done and gets the customer’s signature that the job is finished. It works the same on the job page and from My day on your phone.

Who can do what. Anyone who can edit a job can complete it and get the customer's signature — a Field tech on their own jobs included. Completing a job without a signature the company requires is for owners and admins, with a reason. Turning the requirements on or off is for owners and admins.

What you see

Tap Complete Job (the job’s next action once it’s in progress) or Complete on a stop in My day. The screen fills your phone and shows:

Tap Complete Job at the bottom to close the job. What happens next is the same as always: if you use them, the invoice draft is waiting, and the review request goes out the next day.

Getting the customer’s signature

In Customer sign-off:

What the customer sees

Everything the customer sees is called their Work sign-off: the page, the emails, the PDF. The emails lead with the service address (“Your work sign-off for 12 Oak St…”) and greet them by first name.

The customer’s copy confirms the work, not the bill. It shows the job’s description, the service address and the titles of any approved change orders. It never shows prices, quantities or line items, your completion notes, the checklist or photo file names.

Before signing, the customer ticks “I confirm the work at {their address} was completed to my satisfaction.” They can’t sign without it, and the signed PDF, titled Work sign-off, records it.

If something’s wrong, they tap Something isn’t right? and tell you what, in their own words. They can’t send it blank.

If the work sign-off changes while they have it open — the office edits the job’s description, say — pressing Sign shows them the new version with “This summary changed since you opened it. Review it and press Sign again.” The code they already entered still works; they just tick the box again and sign.

Tick Complete the job when the customer signs when you send the link if you won’t be there when they sign: the job completes itself the moment they do. The screen then says so, and Don’t complete it turns it off again.

Once signed, the screen shows who signed and when, and View signed copy. If the customer says something isn’t right, their note is shown on the screen. Fix it, then send a new link.

Their signed copy

If a completed, signed job is reopened, the old signature no longer covers it: completing it again needs a new one.

Getting a signature after the job is completed

Completed a job without the signature — the customer wasn’t home, say? Open the job and tap Get customer sign-off (under the completion notes). The same screen opens with just the sign-off: Customer signs here or Send for signature. Nothing else changes on the job. If it was completed without sign-off, that reason stays on the job next to the signature, so the record shows both.

Requiring a sign-off before a job can be completed

In System settings, Completing jobs has two switches, both off to start with:

With either on, the completion screen lists what’s still missing, and Complete Job won’t close the job until it’s done — tap it and the screen points you at what’s left.

Completing without the signature

Sometimes the customer just isn’t there. An owner or admin sees Complete without sign-off (or Complete anyway when only checklist items are open). Write why — “Customer away; approved by phone”, say — and complete. The reason is recorded on the job with your name and shows in its history. Field techs and office staff don’t get this option; send the customer the link instead, with Complete the job when the customer signs ticked.
